A More Consistent Sales Process for Chesapeake Homes
Betcher Consulting Group will help Chesapeake Homes connect its onsite sales process, CRM, automation, and team training into a practical system agents can use every day. The goal is to make follow-up easier, give managers clearer visibility, and support a consistent experience from first visit through purchase.
Consulting capabilities
Service Areas
These describe the full range of proposed consulting work. The specific deliverables included in each engagement option are listed under Engagement Options below.
CRM Review & Sales Process Design
Review the existing HubSpot setup, agent responsibilities, contact ownership, sales statuses, community information, and handoffs.
Define how onsite agents should manage inquiries, visits, appointments, active buyers, long-term prospects, and purchasers.
Identify gaps and agree on an implementation roadmap with Chesapeake Homes.
Sales Templates & AI-Assisted Communication
Organize the five standard follow-up templates provided in the first section.
Develop additional communication resources for appointments, second visits, missed appointments, re-engagement, and common buyer questions.
Build AI-generated, personalized follow-up templates using all available contact details, including verified contact information, visit notes, buyer preferences, and approved community information.
Include practical guidance for reviewing AI-generated drafts before sending. AI should not invent pricing, availability, incentives, financing terms, or buyer details.
Keep AI-assisted resources separate from the five approved standard templates. Never modify those five templates automatically.
Follow-Up Workflows & Automation
Design and implement the agreed workflows supporting onsite sales, including priorities such as:
- New inquiry or walk-in follow-up.
- Post-visit follow-up.
- Appointment confirmations and reminders.
- Missed-appointment follow-up.
- Agent tasks and internal notifications.
- Long-term nurture and re-engagement.
- Sales-status updates and handoffs.
- Stopping prospect follow-up when a buyer’s status or response makes it inappropriate.
Define enrollment, exclusions, timing, ownership, and exit conditions for each workflow. Test the agreed workflows before launch.
Automated email, sequences, SMS, and AI functionality depend on the client’s available subscriptions, permissions, consent requirements, and connected tools.
Deal & Pipeline Management
Configure an agreed sales pipeline with clear stage definitions, required information, ownership, next steps, and close-date expectations.
Define when a contact becomes a deal and how deals relate to contacts and community information.
Support manager visibility into active opportunities, stalled deals, and follow-up needs.
Document the process so agents understand what to update and when.
Reporting & Manager Visibility
Build practical reporting around the agreed sales process, such as:
- New inquiries and visits.
- Follow-up activity and overdue tasks.
- Appointments and outcomes.
- Active opportunities by stage and owner.
- Stalled opportunities.
- Conversion where the underlying data supports reliable measurement.
Confirm data availability and metric definitions before building reports.
HubSpot reporting is included within the agreed scope. Separate Looker Studio development or external data connections can be scoped if needed.
CRM Success Center & Agent Onboarding
Configure a Chesapeake Homes edition of the CRM Success Center as a central resource for agent onboarding and everyday guidance.
Include clear instructions, approved templates, AI prompts, checklists, and training resources covering agreed topics such as:
- Working with contact records.
- Logging visits, calls, emails, and notes.
- Managing tasks and follow-up.
- Using templates and available sequences.
- Updating sales statuses and deals.
- Using approved segments and marketing tools where relevant to the agent’s role.
- Understanding Buyer Motivation & Engagement: teach agents how to capture buyer goals and timing, interpret engagement without making assumptions, use priority views or AI summaries, and choose a relevant next step.
- Finding answers to common questions.
Position the Success Center as a practical enablement tool that helps new agents get started and gives existing agents a consistent reference.
Buyer Motivation, Engagement & Sales Prioritization
Help Chesapeake Homes turn buyer conversations and CRM engagement into more informed follow-up. Give agents a clearer understanding of who may be ready to move forward, why they deserve attention, and what to do next.
- Capture meaningful buyer information: define a consistent way to record purchase timing, reasons for moving, home and community preferences, financing readiness, obstacles, and agreed next steps.
- Connect engagement with the sales conversation: review available website tracking and CRM activity so agents can consider identifiable return visits, relevant page activity, email clicks, replies, and appointments alongside what the buyer has directly shared.
- Create practical prioritization criteria: develop agreed criteria for identifying buyers who need timely attention, prospects who require further qualification, and contacts better suited to longer-term nurture. Distinguish observed engagement from confirmed buying readiness.
- Use AI to summarize the evidence: where supported by the available tools and subscriptions, configure AI-assisted summaries or priority reports that explain why a contact may need attention and suggest an appropriate next action. Recommendations should reference the available evidence and flag missing or uncertain information.
- Support timely follow-up: configure agreed tasks, notifications, segments, or workflows to help agents act on meaningful changes in buyer engagement or readiness, with controls to avoid repetitive alerts.
- Give managers useful visibility: provide views or reports showing priority contacts, reasons for prioritization, outstanding follow-up, and gaps in buyer information. Review the criteria against actual sales outcomes and adjust over time.
Principle: Buyer motivation should be informed by what the customer tells us and supported by observed behavior. AI and activity signals assist the agent’s judgment; they do not establish intent on their own.
Training & Ongoing Improvement
Provide practical training for agents and managers.
Use feedback and CRM activity to identify where processes need clarification or improvement.
For the ongoing engagement, maintain a prioritized backlog of enhancements, training needs, and workflow adjustments.
